The Administrative Coordinator’s responsibilities include:

Primary Responsibilities: a.    Maintain strong office systems, ensuring the responsible management of KPC; b.    Execute day-to-day financial functions and work closely with book keeper; c.    Manage KPC resources (rentals, drop-in hours etc) and provide logistical support to KPC programs and events.

a) Administrative •    Manage and implement KPC database, membership and network through traditional (mail outs etc.) and web-based means (Facebook, KPC blog etc.) •    Manage questions to KPC (email, phone etc), directing inquiries and interest to the appropriate sources; •    Manage KPC filing system both electronic and paper, keeping it updated with all pertinent information; •    Maintain copies of ALL necessary documents for grant applications (i.e. Financial statements, By-laws, Letters of Patent, etc); •    Maintain office equipment such as printer, router, scanner, supplies etc; ensure all staff and membership is able to use equipment regularly. •    Answering KPC Phone; •    Maintain copies of KPC promotional materials; i.e. newsletter, info flyer, etc •    Chair staff meetings, record action items and follow up with KPC staff •    Develop, draft, and update documents for ‘Kapisanan bible’ b) Financial •    Liaise with bookkeeper and Board Treasurer to ensure timely financial updates. •    Pay monthly bills and handle incoming bills. •    Track budgets and reporting documents for every grant awarded to KPC •    Maintain effective invoicing system •    Write cheques to be signed by ED c) Office/Building Management •    Manage the member Drop-in Program implementation and logistics along with Program Coordinator •    Maintain and manage equipment and space rental bookings •    Act as a logistician for all programs when needed and available

We are seeking a dynamic and committed young person with:

o    In-depth understanding of challenges facing youth in the Filipino-Canadian community o    In-depth understanding of Filipino & Filipino-Canadian culture, experience, and struggles o    Combination of education in a related field and/or equivalent life experience o    A passion for empowering youth from an anti-oppression and anti-racist framework o    Good working knowledge of Tagalog and/or other Filipino dialects an asset o       Ability to manage program budgets and materials, and develop program resources o    Good organizational and time-management skills; able to work under pressure and meet deadlines o      Highly proficient with internet technologies, i.e. blogs, social networks o      Some knowledge of Quickbooks (accounting software) an asset, though we are willing to train
